In short

An agentic workflow is a process in which AI agents plan steps, use tools and check their own results inside boundaries you define. It sits between rigid automation and fully autonomous agents: the path adapts, but approvals, limits and traces keep it controlled. Start with a high-volume process that spans several systems, keep people on high-impact steps, and measure outcomes from day one.

An agentic workflow is a business process in which AI agents decide how to complete the steps, calling tools, reading data and checking their own output, within limits you set. Unlike a fixed automation script, it adapts when the inputs vary; unlike a fully autonomous agent, it runs inside a defined process with approvals and records. That combination makes agentic workflows the practical way to apply AI agents to regulated work, from banking back-office operations to customer support.

## What is an agentic workflow?

An [agentic workflow](https://www.getdynamiq.ai/glossary/agentic-workflow) combines a defined process with AI agents that have some freedom inside it. The process sets the goal, the available tools, the rules and the points where a person must approve. The agents decide how to get each step done.

![Diagram of four agentic AI capabilities around a central circle: make decisions, plan execution, retain memory and invoke other apps](https://www.getdynamiq.ai/blog/agentic-workflows-explained-benefits-use-cases-best-practices/3-3-core-capabilities-for-autonomous-execution-and.webp)

Four capabilities that let an agentic workflow act on its own: decide, plan, remember and use other applications.

It helps to place agentic workflows between the two approaches they are often confused with:

| | Rule-based automation (RPA) | Agentic workflow | Autonomous agent |
| --- | --- | --- | --- |
| Who decides the path | A fixed script | Agents, within a defined process | The agent, with few constraints |
| Handles variation | Poorly: breaks on unexpected input | Well: reasons about new cases | Well, but less predictably |
| Controls | Built into the script | Guardrails, approvals, limits and traces | Mostly the agent's own judgment |
| Best for | Stable, repetitive steps | Varied, multi-system work that must be governed | Open-ended exploration |

## Why are companies adopting agentic workflows now?

Models have become reliable enough at tool use and multi-step reasoning to handle real process work, and analysts expect adoption to grow quickly. [Gartner predicts](https://www.gartner.com/en/newsroom/press-releases/2025-06-25-gartner-predicts-over-40-percent-of-agentic-ai-projects-will-be-canceled-by-end-of-2027) that by 2028, 33% of enterprise software applications will include agentic AI, up from less than 1% in 2024, and that at least 15% of day-to-day work decisions will be made autonomously.

Customer service is expected to move fastest. In a 2025 survey of 7,950 business and technology decision-makers, [Cisco found](https://newsroom.cisco.com/c/r/newsroom/en/us/a/y2025/m05/agentic-ai-poised-to-handle-68-of-customer-service-and-support-interactions-by-2028.html) that 68% of customer service and support interactions with technology vendors are expected to be handled by agentic AI by 2028.

## How does an agentic workflow work?

Most agentic workflows move through the same stages. Take a card dispute at a bank:

1. **Trigger.** A customer files a dispute through the app.
2. **Interpret.** An agent reads the customer's message and the transaction, and works out what the customer is claiming.
3. **Plan.** It checks the dispute policy and decides which steps apply, such as whether the case qualifies for a provisional credit.
4. **Act.** It pulls the transaction record, the merchant details and the customer's history through tools, and drafts the case file.
5. **Check.** It verifies its work against the policy rules and retries or corrects when something doesn't fit.
6. **Escalate or complete.** Low-value, clear-cut cases proceed; anything above a threshold goes to an analyst for approval, with the case file attached.

Every step is recorded, so the bank can show exactly what the workflow saw and did.

## What are the key components of an agentic workflow?

- **A reasoning model** that interprets inputs, plans and decides which tool to call.
- **Tools and integrations** that let agents read and write in your systems, such as APIs, databases and [app integrations](https://www.getdynamiq.ai/product/integrations).
- **Knowledge** from your documents, retrieved when needed, so agents follow your current policies.
- **Memory** of the conversation and of durable facts about a user; our guide to [agents with memory](https://www.getdynamiq.ai/post/building-a-conversational-ai-agent-with-dynamiq) shows how it works.
- **Orchestration** that coordinates several agents, either in a fixed order or under a manager agent; see [orchestration patterns](https://www.getdynamiq.ai/post/agent-orchestration-patterns-in-multi-agent-systems-linear-and-adaptive-approaches-with-dynamiq).
- **Guardrails and approvals** that detect risky input and pause high-impact steps for a person.
- **Observability and evaluation** that record every run and measure quality over time.

Rule-based automation still has a place. Stable, repetitive steps, such as moving a file between two systems, are cheaper and more predictable as plain automation, and an agentic workflow can call them as tools.

## Which patterns do agentic workflows use?

- **Planning.** The agent breaks an open-ended goal into ordered subtasks and adds steps when it discovers new requirements, such as a permission check.
- **Tool use.** The agent picks the tool that fits each subtask and switches to a fallback when one fails.
- **Reflection.** The agent checks its output against the goal and the rules before moving on, and revises when it finds a gap.
- **Routing.** The workflow sends each case down the path it needs, for example straight-through processing for simple cases and review for complex ones.
- **Human in the loop.** People approve, reject or edit at defined points, and the workflow escalates when a person is needed; see [human-in-the-loop](https://www.getdynamiq.ai/glossary/human-in-the-loop).

## Where do agentic workflows pay off?

The best candidates are processes that span several systems, vary from case to case and happen often enough to matter:

- **Back-office operations,** such as reconciliations, report preparation and approvals across finance systems; see [back-office agents](https://www.getdynamiq.ai/use-cases/back-office).
- **Compliance and financial crime,** such as triaging KYC and AML alerts and drafting the analyst's writeup; see [compliance agents](https://www.getdynamiq.ai/use-cases/compliance-financial-crime).
- **Customer support** across chat and inbound calls, resolving routine requests and handing the rest to people, passing chats on with full context and transferring calls; see [customer service agents](https://www.getdynamiq.ai/use-cases/customer-service).
- **Document review and underwriting,** extracting fields from loan files, claims and contracts and checking them against policy; see [document review agents](https://www.getdynamiq.ai/use-cases/document-review).
- **Research and knowledge work,** answering questions from internal documents with citations; see [research assistants](https://www.getdynamiq.ai/use-cases/research-knowledge).

## What are the benefits of agentic workflows?

- **Throughput.** Work that used to wait in a queue for a person moves as soon as it arrives, around the clock.
- **Consistency.** Every case gets the same checks, in the same order, against the same policy.
- **Faster decisions.** Analysts start from a prepared case file instead of gathering data themselves.
- **Handles variation.** Agents cope with the unusual cases that break rule-based automation.
- **Scales with demand.** Volume spikes don't require hiring and training temporary staff.

## What are the limitations, and how do you manage them?

| Limitation | What goes wrong | How to manage it |
| --- | --- | --- |
| Unpredictable behavior | The same input can produce different paths or answers | Fix the outer process, keep approvals for high-impact steps, set loop limits |
| Data quality | Agents reason from outdated or wrong documents | Keep knowledge sources current and owned, and cite sources in outputs |
| Limited judgment | Agents struggle with ethical calls, ambiguity and rare situations | Keep such cases with people, and route them there automatically |
| Explainability | Reviewers can't see why an agent reached a conclusion | Trace every run and require agents to state their reasons |
| Cost and latency | Many model calls per task add up | Use smaller models for simple steps and plain automation where it suffices |
| Security and privacy | Agents touch personal data and can be targeted by prompt injection | Least-privilege tools, PII and prompt-injection detection, data in your perimeter |
| Skills gap | Few people have built production agents | Start with one process, use a visual builder, and bring in experienced engineers |

## What are the best practices for building agentic workflows?

- **Define outcome goals first.** Pick measurable targets, such as cases resolved without handoff or time to decision, before you build.
- **Keep agents narrow.** Several focused agents with clear inputs and outputs are easier to test than one general agent.
- **Grant least privilege.** Give each agent only the tools and data it needs, and keep irreversible actions behind approvals.
- **Keep humans on high-impact steps.** Define exactly which decisions need a person, and give reviewers the ability to edit before approving.
- **Record everything.** Traces of every run are your audit trail, your debugging tool and your evaluation data.
- **Test with real edge cases.** Build an evaluation set from real cases, including the messy ones, and turn every production failure into a new test.
- **Roll out in phases.** Start with a contained slice of volume, compare results with the manual process, then expand.

## How do you build an agentic workflow step by step?

1. **Pick the process.** Look for high volume, several systems, measurable outcomes and clear rules about what needs a person.
2. **Map the steps.** Write down each step, decision point, system and exception, as the people doing the work describe them.
3. **Choose models and where data lives.** Match models to steps, and decide whether processing must stay in your own infrastructure.
4. **Connect tools and knowledge** with least privilege and credentials the model never sees.
5. **Add guardrails and approvals** at the points your risk and compliance teams define.
6. **Evaluate on real cases** before launch, with metrics your business owners agree on.
7. **Deploy in phases and monitor** quality, cost and escalation rates in production.

Fine-tuning is rarely the first step. Most workflows reach their targets with good instructions, retrieval from current documents and the right tools; fine-tune only when evaluation shows a gap those can't close.

## How does Dynamiq help you build agentic workflows?

Dynamiq is built for agentic workflows in regulated industries:

## FAQ

### What is the difference between an agentic workflow and an AI agent?

An AI agent is a single system that reasons and uses tools to reach a goal. An agentic workflow is a business process that uses one or more agents inside defined steps, rules and approvals. The workflow gives the agents structure; the agents give the workflow flexibility.

### How are agentic workflows different from RPA?

RPA follows fixed scripts and breaks when inputs change. Agentic workflows use AI agents that interpret varied inputs and decide how to complete each step, while approvals and traces keep them controlled. Many teams use both, with agents calling RPA bots for stable, repetitive steps.

### What are examples of agentic workflows?

Examples include card dispute handling, KYC and AML alert triage, invoice reconciliation, loan file review, customer support that resolves requests across systems, and research assistants that answer questions from internal documents with citations.

### Are agentic workflows safe for regulated industries?

They can be, when they are designed for it: least-privilege tools, detection of PII and prompt injection, approvals on high-impact steps, data processed in infrastructure you control, and a trace of every run that auditors can follow.

### How do you measure whether an agentic workflow is working?

Track business outcomes, such as cases completed without handoff, time to decision and cost per case, alongside quality metrics from evaluations, such as accuracy against a reviewed test set, and operational signals such as escalation and error rates.
